We are The Electric Car Scheme (“us”, we”, “our”) and we offer services as an introducer, credit broker and salary sacrifice administrator. We are not a lender, finance provider or insurer. Information about who we are and the fees and commission we charge in the provision of our services is set out in our Information Notice and an explanation of how we process and deal with your personal data is set out in our Privacy Notice.

If you are visiting our website, you agree to be bound by these General Terms & Conditions and you should leave our website immediately if you do not. 

Organising your new electric vehicle

Using our website

Our website (https://www.electriccarscheme.com) provides content about our company, the electric car scheme and electric vehicles, including vehicle descriptions and technical details. 

This content includes text, images, videos and animations, and may have been provided by third parties.  This content is for indicative purposes, and it is best practice for you to also refer to the manufacturer’s website to get the latest specifications, technical data and additional options for a vehicle. If  you are in doubt over the suitability of a vehicle for you, we also recommend visiting the manufacturer’s website. Technical vehicle data may also include information such as CO2 emissions and P11D values, which are subject to change and are only finalised at the point of registration with the DVLA. We make every effort to keep our website and its content up-to-date, but cannot be held liable for any errors or discrepancies. 

Our team of dedicated vehicle finance specialists are trained to guide you through the vehicle financing process but do not provide advice or recommendations. Therefore, it is your responsibility to ensure that you choose products that are suitable for you. 

Reviewing vehicle pricing and quotes on our website

Vehicle prices and quotations provided by us or generated from our website are not an offer of finance and are only for guidance purposes until your vehicle has been ordered. 

Vehicle prices can change due to factors outside of our control, such as manufacturer price changes, supplier availability, government tax treatment, VAT or residual value calculations. We reserve the right to amend or change website pricing as necessary.

Although we have a fantastic team of vehicle finance specialists, human errors do occur on rare occasions. We, and the parties we work with, are continually improving processes to reduce the likelihood of this. If we make an error, we will do everything possible to put it right for you, however we do reserve the right to change or expire any quotations and orders before delivery of the vehicle. To be clear, this would be a last resort for us. 

Ordering your vehicle

It is important that you carefully check that your vehicle and benefit package are correct in your quote and your order form. Your order form details important information around your vehicle and hire arrangement, including your vehicle specifications, the name of your broker and vehicle provider, the extras included in your package and any fees payable. Once your finance application has been accepted and an order form submitted, your chosen vehicle will be ordered and your employer will enter into a vehicle hire agreement with the vehicle provider. It is not possible to change these details once your vehicle has been ordered and cancellation fees will apply. 

In very (very) rare cases, a finance application may need to be reviewed after the order form has been submitted for reasons beyond our control (e.g. the vehicle not being available or the price changing). If this happens, we will contact you to confirm whether you want to proceed with the order, find you an alternative vehicle or cancel your order (at no cost).

Arranging your home charger 

If you have organised installation of a home charger as part of your order, we will contact the charger installation company prior to delivery of your vehicle. They will then reach out to you directly to do a preliminary questionnaire and arrange the installation at a time that is convenient for you.

Starting your salary sacrifice payments

Your salary and payroll will change the month following delivery. The amount of salary sacrifice paid during the first payroll month will be higher than a typical month, as it combines the salary sacrifice for the days in the month of delivery and the first full month, as well as any one-off costs. 

From the month following delivery onwards, you will receive a monthly employee summary from us. This summary states your salary deductions, additional taxes due to BIK, and your estimated tax savings. If you have any questions about this summary you can contact us at support@electriccarscheme.com.

Delivery of your new electric vehicle

Arranging delivery of your vehicle

When can my vehicle be delivered: We will provide you with an estimated time for delivery when you order your vehicle - this is a best estimate based on information provided by the vehicle provider, manufacturer and others in the supply chain. The supply chain in this industry is complex and circumstances can sometimes change, however we will keep you updated on any changes to your estimated delivery date. Once we have confirmed your expected delivery date, we will also provide you with your updated salary sacrifice schedule. We have no control over delivery times and will not accept any responsibility for any losses caused by any delays in delivery.

Where can my vehicle be delivered: You will be contacted by the vehicle provider, or sometimes the car manufacturer or broker, to arrange delivery of the vehicle to your employer’s offices. You may be able to arrange for delivery to an alternate address, and please discuss options with them when arranging delivery (delivery to the employer address is sometimes required as a fraud prevention measure). Standard delivery is generally available to addresses in England, Wales and Scotland (although, for some providers delivery to  Scotland may involve an additional charge). Delivery slots usually require a full day, so please plan accordingly. The licence plate of the vehicle will also be provided, if applicable.

What if I am organising my own insurance: If comprehensive insurance is not included in your package with us (check your Employment Contract Amendment Agreement and order form), you will need to provide proof of insurance for the vehicle prior to delivery. You are responsible for ensuring that your vehicle is covered by an appropriate comprehensive insurance policy (whether arranged by us, a third party or by you). We also recommend that you consider taking out GAP total loss insurance to cover any loss if the vehicle is written-off or stolen whilst in your care. 

Delivery day and checking your vehicle

How will my vehicle be delivered: Your vehicle will typically be delivered by a driver on delivery day. 

What should I check on delivery day: After your vehicle has been delivered, please complete a full walk around to ensure there is no damage and your new vehicle aligns with the specifications on your order form. You may want to refer to our Delivery Checklist for help. Any mileage showing on the odometer of the vehicle will not count towards your contracted mileage allowance. It is important that you check the vehicle thoroughly inside and out as once you have signed the delivery paperwork this vehicle becomes your responsibility, and any issues need to be raised at that time. Please do not sign if you are not 100% happy with the condition of the car, and how it is recorded on the delivery paperwork. If you do spot something or have any questions or queries whilst the handover is being conducted, please ensure these are noted during the delivery and contact us or the vehicle provider ASAP.

Using your new electric vehicle

Maintaining your vehicle

You may be responsible for maintaining and servicing your vehicle during your hire term. This may include updating service records and organising MOTs, as applicable for your vehicle. It is important that you are aware of the specific requirements for your vehicle, so please read your vehicle hire agreement to see the requirements for your vehicle. Please also refer to our Handbook for more information. 

Your vehicle will have been registered with the DVLA prior to delivery. The current cost of road tax (also known as road fund licence or vehicle excise duty) is zero, however it will be required to be paid from April 2025. You may need to arrange to re-register your vehicle with the DVLA annually. Please see your vehicle hire agreement for the specific requirement for your vehicle. 

Excess mileage and your vehicle

You will have agreed to an annual mileage limit during your hire term, and this will be stated on your order form and in your Employment Contract Amendment Agreement, along with the rate charged for any excess mileage. Please note that some vehicle providers (especially subscription providers) may record and invoice mileage on a monthly basis, rather than annually. Please see your vehicle hire agreement for the specific requirement for your vehicle.  If you return your vehicle with additional mileage above the agreed total limit, you will be charged at the specified rate for the excess mileage.

If you wish to change your annual mileage limit, you can do so by contacting your vehicle provider (i.e. the lease company or subscription provider). It is your responsibility to inform us of a change to your mileage limit and to ensure that your salary sacrifice payments reflect the correct monthly cost for your vehicle.

Returning your vehicle

Once your hire term has finished, you should return your vehicle in good condition, allowing for ‘fair wear and tear’. The British Vehicle Rental and Leasing Association has produced the widely recognised Fair Wear & Tear Guidelines setting out industry standards . You will be charged for any damage which does not constitute fair wear and tear.

A few final points

We reserve the right to amend these General Terms & Conditions. 

Our website and these General Terms & Conditions are governed by the laws of England & Wales. Any disputes arising from the use of our website, or these General Terms & Conditions, shall be dealt with by the courts of England & Wales.
